1. SCOPE OF SERVICES

Novamour provides comprehensive event solutions, including catering, décor and styling,

custom cakes, stationery design, and full-service event planning. All deliverables, inclusions,

and exclusions will be clearly detailed in the final quotation and confirmed in writing.


2. QUOTATIONS & PAYMENT TERMS

A non-refundable booking fee of 70% is required to secure the booking. The remaining 30%

is payable no later than seven (7) days before the event date. Services will not commence

until full payment is received.

Payments must be made via EFT to the banking details provided on the quotation or invoice,

and proof of payment must be emailed to Novamour for verification.

Failure to settle the balance by the due date will result in a 5% weekly surcharge. Novamour

reserves the right to suspend services until full payment is made. Continued non-payment

may result in cancellation of services, with the client remaining liable for all costs incurred

up to that point.


3. FINAL GUEST NUMBERS, MENU CONFIRMATION & SCOPE CHANGES

Final guest numbers must be confirmed at least ten (10) days before the event. Novamour

will accommodate up to 10 additional guests (or 1% of the confirmed total, whichever isgreater) at no extra charge. Any increase beyond this will be billed per head.

A reduction in guest numbers after final confirmation will not reduce the total cost.

Any changes to the agreed scope—including guest count, design elements, menu, or venue

access—must be communicated in writing and may result in additional charges. Novamour

will issue a revised quotation for approval prior to implementing changes.


4. EVENT PLANNING & COORDINATION

Services include concept development, logistical planning, supplier coordination, and on-site

execution. The client remains responsible for any third-party supplier contracts entered into

independently of Novamour.


5. STATIONERY DESIGN & PRODUCTION

All design proofs must be approved in writing. Novamour is not liable for any errors

identified after client approval. Reprints required due to client oversight will be billed

separately.


6. BREAKAGES, LOSS & DAMAGES

A refundable breakage deposit will apply as specified in the quotation. The client is

responsible for any loss or damage to Novamour’s property during the event. Replacement

or repair costs will be deducted from the deposit, and any shortfall will be invoiced.

Breakage assessments will be completed post-event, and refunds will be processed within a

reasonable timeframe if no damages are found.

Under no circumstances may the client source, replace, or purchase any broken or damaged

items in their own capacity. All replacements or repairs must be handled exclusively by

Novamour to maintain quality control and supplier integrity.


7. EVENT SETUP, ACCESS & VENUE REQUIREMENTS

Novamour requires a minimum of seven (7) hours for setup prior to the event, with

preferred access the day before. Breakdown typically requires five (5) hours after the event.

Final access times will depend on venue regulations and will be confirmed in advance.


8. CANCELLATIONS & POSTPONEMENTS

All cancellations must be submitted in writing. The 70% booking fee remains non-refundable

under all circumstances.

Cancellations made within seven (7) days of the event will incur the full invoice amount.Postponements are subject to availability and must be confirmed in writing. Requests made

within seven (7) days of the event will be treated as cancellations.


9. CAKE TERMS

Bookings & Payments

● All orders must be booked in advance and are only confirmed once a payment is

made.

● A 70% deposit is required to secure your order.

● The remaining balance is due 5–7 days before collection or delivery.

● Orders placed less than 7 days before the event require full payment upfront.

● No order will be processed without proof of payment.

Cancellation & Refunds

● Deposits are non-refundable.

● Cancellations made more than 7 days before the event may receive a partial refund

excluding the non-refundable deposit.

● Cancellations made less than 7 days before the event forfeit 100% of the amount

paid.

● Postponements are allowed once if made at least 7 days before the original date,

subject to availability.

Design & Decoration

● All cakes are handmade; slight variations may occur in colour, design, and

decoration.

● Images provided by clients will be used as inspiration, not exact replicas.

● Novamour reserves the right to adjust designs where necessary (e.g., structural

integrity, ingredient availability, or environmental conditions).

Allergies & Dietary Requirements

● Our cakes are produced in a kitchen that handles nuts, dairy, eggs, soy, wheat, and

gluten.

● We cannot guarantee that any product is allergen-free.

● It is the client’s responsibility to inform guests of any allergies.

Storage & Handling

● Cakes should be transported on a flat surface, in an air-conditioned vehicle.

● Once collected or delivered, Novamour is not liable for any damage caused due to

improper handling or storage.

● Cakes should be refrigerated when necessary and removed at least 1–2 hours before

serving to reach room temperature.

Delivery & Collection

● Delivery is available at an additional cost based on distance (delivery fee excludes

cake price).

● Clients must be available at the agreed delivery time.● If no one is present to receive the order, it will be returned, and a second delivery

fee applies.

● Collections are at the client’s own risk.

Fresh Flowers & Non-Edible Items

● Some decorations (flowers, toppers, wires, dowels, etc.) may be non-edible.

● It is the client’s responsibility to remove all non-edible items before serving.

● Fresh flowers must be confirmed with the florist to ensure they are food-safe.


10. LIABILITY & INDEMNITY

Novamour shall not be held liable for any injury, loss, or damage unless arising from proven

gross negligence. The client indemnifies Novamour against any third-party claims resulting

from the event.


11. PHOTOGRAPHY & MARKETING

Novamour reserves the right to photograph or film event setups, décor, and products for

marketing purposes (excluding identifiable guests unless written consent is obtained).

Clients may opt out by notifying Novamour in writing prior to the event.


12. CONFIDENTIALITY

Both parties agree to maintain the confidentiality of all client, event, and business-related

information.


13. RESPECT, COMMUNICATION & POINT OF CONTACT

All concerns or instructions must be directed to the owner or the appointed event manager.

Clients may not issue instructions directly to Novamour staff during an event.

If the owner is off-site, they will manage communication remotely or through an assigned

representative.

Any disputes or complaints will be handled professionally and in accordance with

Novamour’s conflict resolution policy.

Respect is a non-negotiable value at Novamour. Clients are required to treat the owner and

all team members with professionalism, courtesy, and respect at all times.


14. ENTIRE AGREEMENT

This document constitutes the entire agreement between the parties and supersedes all

prior communications, proposals, or understandings.

Amendments must be made in writing and signed by both parties.

This agreement shall be governed by and construed in accordance with the laws of the

Republic of South Africa, and any disputes shall fall under the jurisdiction of South African

courts.


15. RUSH BOOKINGS & EXPEDITED SERVICES

For bookings made less than ten (10) working days before the event, a 15% surcharge will

apply to cover expedited coordination, sourcing, and logistics.

This ensures adequate staffing and prioritization without compromising quality. Rush

bookings remain subject to availability and must be confirmed in writing with full payment

of the booking fee before commencement.


16. DELAYS DUE TO CLIENT ACTION OR INACTION

Novamour shall not be liable for delays, compromised quality, or missed deadlines caused

by the client’s late payments, approvals, access issues, or other inactions.

Examples include but are not limited to:

- Late confirmation of guest numbers

- Delayed design or menu approvals

- Restricted or late venue access

- Changes to program or timeline

Any additional labour, rescheduling, or resource costs incurred due to such delays will be

billed accordingly.


17. STAFF HOURS, CATERING TIMING & DELAYS

Waiters and service staff are scheduled to work for five (5) to seven (7) hours as outlined in

the quotation. This includes setup, service, and breakdown unless otherwise agreed.

If the event runs beyond the quoted timeframe or staff are required to remain longer due to

delays, overtime charges will apply per staff member. Rates will be detailed in the quotation

or invoiced post-event.


Catering is scheduled for a specific service time agreed upon in advance. The client must

ensure that the event program, speeches, and activities align with the planned service time.

If catering is delayed due to client-related factors (e.g., late guest arrivals, program

overruns, or restricted access), Novamour reserves the right to charge additional fees for

extended staff hours, food reheating, or operational adjustments.

As all staff are paid hourly, strict adherence to schedules is required to avoid additional

costs. Novamour will make reasonable efforts to accommodate minor timing shifts, but

significant deviations that impact service or quality will incur charges.18. HEALTH & SAFETY

Novamour adheres to all relevant health and safety regulations. The client is responsible for

ensuring that the venue is safe and suitable for setup, catering, and breakdown. Novamour

shall not be liable for injuries or incidents arising from unsafe venue conditions.


19. FORCE MAJEURE

Novamour shall not be held liable for non-performance due to circumstances beyond its

control, including but not limited to acts of God, natural disasters, strikes, pandemics, or

government restrictions. In such cases, both parties will work in good faith to reschedule or

adapt services.



20. ACCEPTANCE

By signing below, both parties confirm that they have read, understood, and agreed to the

terms of this agreement.

In the absence of a signed copy, payment of any amount toward a quotation or invoice shall

constitute full acceptance of these terms. Appointment of Novamour for any service implies

agreement to all provisions herein.
